What does a Reconstruction Project Coordinator with Paul Davis do?
Role overview
The Reconstruction Project Coordinator is the operational anchor for all reconstruction jobs. You ensure each project is set up correctly, moves through the pipeline without delay, remains compliant with carrier and program requirements, and closes with complete documentation and accurate billing. You connect estimators, project managers, subcontractors, TPAs, and homeowners so reconstruction work proceeds smoothly from start to finish.

Core Responsibilities
1. Job setup and intake management
• Establish complete and accurate job files at intake.
• Capture essential claim, carrier, adjuster, deductible, and loss details.
• Provide clear internal notes summarizing job context and early requirements.
2. Preconstruction coordination
• Prepare work orders, purchase orders, and supporting documents based on the approved estimate.
• Coordinate with estimators and project managers to align scope, budget, and start timelines.
3. Scheduling and subcontractor management
• Build and maintain the reconstruction schedule.
• Coordinate subcontractors and internal crews, ensuring trades have clear work orders and expectations.
4. Documentation, billing, and compliance
• Maintain organized job files with all required documents, approvals, and updates.
5. Communication and reporting
• Serve as a primary administrative point of contact for customers, adjusters, and vendors related to scheduling and documentation.
• Provide regular updates to project managers and leadership regarding job status, outstanding needs, and pending actions.
Experience
• Prior experience in construction, restoration, insurance administration, or project coordination preferred.
• Associate’s degree in business, construction management, or related field is beneficial but not required.
Skills
• Excellent organizational skills and attention to detail.
• Ability to manage multiple jobs and deadlines simultaneously.
• Strong communication skills across customers, vendors, and internal teams.
• Comfortable with project management software, job-costing tools, carrier portals, and spreadsheets.
Work environment
• Primarily office based.
• Occasional field visits may be required for documentation or coordination needs.
